Privacy Policy

How Ventry collects, uses, shares, retains and protects your personal information when you use the Ventry mobile app for discovering and booking events-related services.

Effective 20 October 2026

Version 1.1

Ventry

Effective Date: October 20, 2026
Version: 1.1

This Privacy Policy explains how Ventry collects, uses, shares, retains, and protects your personal information when you use the Ventry mobile application (the “App”) for discovering and booking events-related services. Please read it carefully before using the App.

1. Introduction

Welcome to Ventry. Ventry is a mobile application and marketplace that connects Event Customers, Event Organizers, and Suppliers so they can find each other, communicate, and arrange event bookings. We are committed to protecting your privacy and handling your personal data with transparency and care.

This Privacy Policy applies to all users of the Ventry mobile application (available on iOS and Android), including Event Customers, Organizers, and Suppliers (collectively, “Users” or “you”). “Ventry”, “we”, “us”, and “our” refer to the developer and operator of the Ventry app. By creating an account or using the App, you acknowledge the collection and use of information as described in this policy.

2. Bookings, Pricing, and Payments

Ventry does not process payments. In particular:

  • Booking through Ventry is free. Ventry does not charge Customers a fee to submit a booking request.
  • Pricing and payment are handled directly between you and the provider. Any price, quotation, deposit, or payment for an Organizer’s or Supplier’s services is agreed upon and settled on-site, directly between the Customer and the Organizer or Supplier, outside of the App.
  • Ventry is a marketplace and communication bridge only. We help Users discover each other, exchange messages, and manage booking requests. We are not a party to any transaction between Users.
  • We do not collect or store payment information. The App does not collect, process, or store credit or debit card numbers, bank account details, e-wallet details, or other payment credentials, and it does not integrate any payment processor.

Because payments take place outside the App, we encourage you not to share card, bank, or other financial account details in in-app messages.

3. Information We Collect

We collect different types of information depending on your role and how you interact with the App.

3.1 Information You Provide Directly

  • Account Registration Data: Full name, email address, password (stored as an encrypted hash), role (Event Customer, Organizer, or Supplier), and contact number.
  • Profile & Business Information: Business name, brand description, service categories, years of experience, portfolio photos, cover photo, and avatar image (for Organizers and Suppliers).
  • Home & Business Address: Your home address (for Customers, used for distance-based search) and business address (for Organizers and Suppliers), which are geocoded into geographic coordinates.
  • Event Booking Details: Event type, date and time, guest count, venue address, event theme, budget range (an estimate you provide to help providers understand your needs), inspiration links, and any files you upload during the booking process.
  • KYC & Verification Documents: For Organizers and Suppliers, we collect a government-issued ID (front and back), BIR Certificate, DTI Registration, and/or SEC Certificate for business verification purposes. These documents are used only for verification, are never displayed publicly, and are not shared with other Users.
  • Reviews & Feedback: Star ratings, written reviews, event type tags, attribute selections, and optional anonymous posting preference.
  • Communications: Messages sent through the in-app messaging feature between Customers, Organizers, and Suppliers related to a booking.

3.2 Information Collected Automatically

  • Device Information: Device type, operating system version, and app version.
  • Usage Data: Features accessed, screens viewed, booking flow progress, and interaction logs used to improve the app experience.
  • Push Notification Tokens: Device tokens used to deliver push notifications (for example, booking updates, new messages, and KYC status changes).
  • Location Data: The coordinates of the home or business address you enter are stored to power the geo-based search feature. We do not track your real-time GPS location, and we do not collect location in the background.

3.3 Information from Third Parties

  • Google Sign-In: When you sign in with Google, we receive your name, email address, and profile photo from Google, subject to your Google account privacy settings.
  • Facebook Login: When you sign in with Facebook, we receive your name and email address from Facebook, subject to your Facebook account privacy settings.
  • Mapping Services: We use Nominatim or Mapbox to convert addresses into geographic coordinates.

3.4 Device Permissions

The App asks for your permission before accessing certain features of your device, and you can change these permissions at any time in your device settings. Depending on the features you use, this may include access to your photos or files (to upload profile images, portfolio photos, booking attachments, and verification documents) and permission to send you push notifications. Declining a permission may limit the related feature, but you can still use the rest of the App.

4. How We Use Your Information

4.1 Providing and Operating the Service

  • Creating and managing your Ventry account.
  • Enabling you to search for, view, and send booking requests to Event Organizers and Suppliers.
  • Managing booking statuses (Pending, Confirmed, Completed, Cancelled).
  • Facilitating in-app messaging between Customers, Organizers, and Suppliers within a booking context.

4.2 Personalisation & Discovery

  • Displaying geo-filtered search results based on your home address to show nearby Organizers and Suppliers.
  • Personalising your dashboard with upcoming bookings and relevant service suggestions.
  • Recommending Organizers and Suppliers based on your search history and event types.

4.3 Verification & Trust

  • Verifying the identity and business registration of Organizers and Suppliers through our KYC process.
  • Displaying verified badges on approved provider profiles to build customer trust.
  • Reviewing reported users and moderating inappropriate content or behavior on the platform.

4.4 Communications & Notifications

  • Sending push notifications for booking updates, new messages, upcoming event reminders (24 hours before), and KYC verification status.
  • Sending transactional emails, including OTP codes for account verification and password reset.

4.5 Security & Fraud Prevention

  • Authenticating users via JWT access tokens and refresh tokens.
  • Detecting and preventing fraudulent activity and unauthorized account access.

4.6 Analytics & Improvement

  • Analyzing usage patterns to improve app performance, features, and user experience.
  • Conducting quality assurance and testing activities.

We only use your data for the purposes described in this policy, and we limit collection to what is needed to operate the App.

5. How We Share Your Information

5.1 With Other Users

  • Customer and Organizer/Supplier Visibility: When you submit a booking request, your event details, booking information, and contact information are shared with the relevant Organizer or Supplier so they can respond to and fulfil the booking.
  • Public Profiles: Organizer and Supplier profile information (business name, portfolio, reviews, and rating) is visible to all Customers on the platform.
  • Reviews: Reviews you post are visible on the provider’s profile. You may choose to post anonymously, in which case your name will not be displayed.

5.2 With Third-Party Service Providers

We share data with service providers that help us operate Ventry, only as needed to provide their services:

  • Cloud Hosting & Storage: We use cloud infrastructure providers to host the Ventry backend and store user-uploaded files (portfolio photos, KYC documents). KYC documents are stored in private cloud storage with short-lived, signed access URLs.
  • Mapping & Geocoding: Nominatim or Mapbox, to convert addresses into geographic coordinates.
  • Push Notification Services: Expo’s notification service, to deliver push notifications to your device.
  • Sign-In Providers: Google and Facebook, to facilitate social sign-in.

We may disclose your information if required by law, or if we believe in good faith that disclosure is necessary to:

  • Comply with a legal obligation, court order, or government request.
  • Protect the rights, property, or safety of Ventry, our users, or the public.
  • Investigate or prevent suspected fraud, security breaches, or illegal activities.

5.4 Business Transfers

In the event of a merger, acquisition, or sale of all or a portion of our assets, your personal data may be transferred to the acquiring entity. We will provide notice before your information is transferred and becomes subject to a different privacy policy.

We do not sell your personal information, and we do not share it with third parties for their own advertising or marketing purposes.

6. Data Retention and Deletion

We retain your personal data only for as long as your account is active or as needed to provide you with our services. Specific retention practices include:

  • Account data is retained for the duration of your account. When you delete your account, we delete your account data as described below.
  • Booking records are retained for as long as needed to operate the booking, resolve disputes, and meet legal obligations, and are then deleted or anonymized.
  • KYC documents are retained for the period required by applicable law and regulatory requirements, and are then deleted.
  • In-app messages are retained for the duration of the associated booking and a reasonable period thereafter.
  • Push notification tokens are deleted when you log out or uninstall the application.
  • Refresh tokens are invalidated immediately upon logout and are stored for a maximum of 30 days during active sessions.

6.1 Account Deletion

You can request deletion of your Ventry account and associated personal data at any time, in either of these ways:

When we receive a valid request, we permanently delete your account and the personal data associated with it within 30 days. We do not merely deactivate or freeze accounts. Limited data may be retained only where required for security, fraud prevention, dispute resolution, or legal compliance, and only for as long as that requirement applies. Reviews you posted may be kept in anonymized form for platform integrity.

7. Data Security

We handle personal data securely and use industry-standard technical and organizational measures, including:

  • Password Hashing: User passwords are hashed using bcrypt before storage. We never store passwords in plaintext.
  • Token Security: JWT access tokens are stored in memory only and never persisted to disk. Refresh tokens (30-day validity) are stored using Expo SecureStore on your device.
  • Encrypted Transmission: All data transmitted between the Ventry app and our servers is encrypted using TLS/HTTPS.
  • Private Document Storage: KYC and business verification documents are stored in private cloud storage and are only accessible via short-lived, cryptographically signed URLs.

While we take reasonable steps to protect your data, no method of electronic transmission or storage is 100% secure. We encourage you to use a strong, unique password and to keep your login credentials confidential.

8. Your Rights and Choices

Depending on your location and applicable law, you may have the following rights regarding your personal data:

8.1 Access and Portability

You may request a copy of the personal data we hold about you, including your profile information, booking history, and communications.

8.2 Correction

You may update your personal information (name, avatar, contact number) and business information (brand name, address, categories, services) directly within Account Settings in the App.

8.3 Deletion

You may delete your account and associated personal data as described in Section 6.1.

Where our processing is based on your consent (for example, marketing communications), you may withdraw your consent at any time without affecting the lawfulness of processing before withdrawal.

8.5 Push Notifications

You can manage push notification preferences through your device’s notification settings. Disabling notifications will not affect your ability to use core app features, but you may miss important booking and message updates.

8.6 Social Login

If you connected your account via Google or Facebook, you may revoke Ventry’s access to your social profile at any time through your Google or Facebook account settings.

To exercise any of these rights, contact us using the details in Section 11.

9. Children’s Privacy

Ventry is not directed to individuals under the age of 18 (“minors”). We do not knowingly collect personal information from minors. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately. Upon verification, we will promptly delete the information.

The Ventry app may contain links to, or integrations with, third-party websites or services, including mapping providers and social login providers. This Privacy Policy does not apply to those services. We encourage you to review their privacy policies, including:

Because pricing and payment are arranged directly between Users outside the App, any payment method you use with an Organizer or Supplier is governed by that provider and any payment service they choose, not by Ventry.

  • Update the “Effective Date” at the top of this policy.
  • Send a push notification or in-app notice to registered users.
